System prompt

What it means in practice

A system prompt is the employment contract and the handbook for a new employee. An ordinary prompt is the specific task of the day (“write an email”); the system prompt is the role. It reads something like: “You are a professional assistant at a law firm. Answer concisely, use formal language, and if you do not know something about the law with certainty, do not answer, ask for a lawyer to be consulted.”

Why companies need to know this

• Consistent communication. It makes sure the AI writes in your company tone rather than sounding like a robot.
• Safety boundaries. It protects the company by explicitly forbidding the model from inventing facts, promising customers discounts, or advising outside its remit.
• Less routine. With a well-set system prompt, you do not have to remind the AI daily what its output should look like.

An example from practice

An estate agency was drowning in client enquiries it could not process. They deployed AI to automate lead generation. The key to it working was an airtight system prompt: “You are a real estate assistant. Your only job is to establish the budget and the location sought. If the client asks for a discount, politely reply that pricing is handled by the agent directly. Never promise a discount and never arrange a viewing.” That removed any risk of the chatbot promising the customer something impossible.
